How to refund a payment

Refund a card or bank payment in Stripe, undo a cash or check payment, and keep the invoice right.

Who can do this: Business ownerUpdated Oct 25, 2026

Card or bank payments (paid online)

Money paid online went through your Stripe account, so the refund is made in Stripe:

  1. Sign in to your Stripe Dashboard and open Payments.
  2. Find the payment. Search by the customer's name, email or the amount.
  3. Press Refund, choose the full amount or part of it, and confirm.

Stripe sends the money back to the customer's card or bank. It usually shows up in 5 to 10 business days.

Then update the invoice in JobBills:

  • Full refund: open the invoice and change Status to Void, so it no longer counts as paid.
  • Part refund: leave it paid, and add a line in the invoice Notes, for example "Refunded $50 on Oct 14 for the returned sensor".
Note: JobBills doesn't take the refund back off the invoice by itself. Updating it as above keeps your reports and the customer portal right.

Cash, check or other payments

These were recorded by hand, so you give the money back yourself (cash or a check). Then:

  1. Open the invoice and scroll to Deposits, where every payment recorded on the invoice is listed.
  2. Press Remove next to that payment.

The invoice shows the balance as due again. If it had turned Paid, it goes back to Sent (or Overdue when it's past its due date).

See who did it

Every payment recorded or removed is listed in the Activity log with who did it and when. See How to see who changed what.
